SU Venue
The MSL Venue Management module provides you with a complete stand-alone venue website, door entry and event management system for just £4000 per year. The system has been developed and implemented in SU’s for the last five years ensuring that Entertainments staff are getting the best value out of new technology.  In short the system can help with your marketing, venue management, door entry speed, customer analysis, customer interaction, transaction costs and much more.

Virtual Ticketing

The MSL virtual ticketing module attaches purchase information to registered users’ University cards – there’s no need to print off tickets in any form. On entering the event the member’s card is simply scanned, entry is validated and the member’s attendance at the event registered through the door entry software. The system flags up under 18s and banned members to prevent illegitimate entry. If a member loses their card, providing they have adequate alternative identification, they can be found quickly on the system, which stores all purchases and will be able to validate entry in seconds. Tickets can also be purchased with ease at the point of entry, reducing queuing times for guests and staffing time for door supervisors. Of course if you do not wish to use virtual ticketing you can print of spreadsheets of all online purchases and use the system for E-ticketing. The choice is yours.

Setup

To use the stand alone module we would set up a bespoke website at a domain name such as www.yourvenue.com. Students or the general public would use this website to find out information about events from dynamic events lists and calendars and to buy tickets.  If your University operates the Shibboleth identity provider, your students could login to the website with their University username and password with no registration if the University agrees. If not then a simple and fast registration procedure will be built to your requirements.
 
You can allow guest registration allowing members of the public to buy online tickets to your venue. As you can tag different events you can easily draw up lists of event categories (Sport, Club Nights, Society Events, General Public etc) to make different areas of your website relevant to different customer segments. Pages can be enhanced with forums, video, polls and other interactive features ensuring your website appeals to your members.
 
An integrated email and SMS system is included allowing you to target your customers based on event attendance, sign-up to mailing lists or anyone from your University database who has given the SU permission to contact them.

Till Software

The system comes with full till and door entry software that is easily downloaded onto computers or till points. The system ties these applications in with the website to allow you real time management of your venue and capacities. Additionally the finance and reporting parts of the system allow you to integrate your sales directtly with your own finance system.

Management Information

The reporting system enables managers to track live sales data and react to trends swiftly. Event audiences can be profiled and targeted with relevant promotions and long-term trends can be used for more effective budget phasing. If you receive course and demographic data from your University these can be used to provide comprehensive demographic customer reports.
 
Reports can be automatically emailed to key staff and sabbaticals allowing committees to keep track of relevant statistics. For instance each morning a report could be emailed to your commercial services group detailing how many people were in your venue the night before, the value of tickets sold, door entry times, percentage of different year groups / postgraduates / international students etc.
 
Capacity management
The software allows you to manage ticket sale capacities for multiple events across multiple venues, with money being assigned to different finance codes. You are able to identify exactly how many people are in your building at any given moment and even break this down by member attributes, such as members of a specific year group. The venue management system can also be used for society events or other one-off functions, such as graduation balls, including generating table plans.

Cost

The MSL stand alone Venue Management module costs £4000 per annum.
 
This includes all initial training necessary to run the module, full support, hosting, domain name management and design of the website. The MSL Door entry module can be combined with other MSL stand alone modules to provide increased functionality such as more control and features for your website or easier running of events for clubs and societies.
